Insurance Requirements
Exhibitors are required to have insurance that meets the following criteria on file with the Big Iron office prior to setup:
- Certificate of Insurance with limits of liability of $1,000,000 per occurrence
- Certificate must name Big Iron Farm Show and Red River Valley Fair as certificate holder (Your contract will include more detail)
Exhibitor Regulations
1. Signs, partitions, apparatus, equipment, fixtures or furnishings may not extend more than 10 feet above the floor in a building in an exhibit space without permission of the Big Iron manager.
2. Pins or tacks are not permitted in drapes, walls, post, etc.
3. Nails or screws shall not be placed on the floor.
4. All aisles shall be kept clear of displays. Interviews, demonstrations, distribution of literature, or similar activity shall be permitted inside the exhibit area only.
5. Canvassing or solicitation is permitted only by exhibitors.
6. All structural work or alterations shall be inspected and approved by the Big Iron manager. All construction materials used shall comply with existing fire codes or regulations. All flammable materials such as bunting, trees, drapes, etc., shall be fireproofed. NO CREPE PAPER IS PERMITTED.
7. Two or more businesses, organizations or persons may not exhibit in a single exhibit space without prior written approval of the Big Iron manager.
8. The use of sound motion pictures and tape recorders may be permitted where such is appropriate to the display, provided the sound is no louder than a conversational level.
9. Promotional items may be used in an exhibit space, however, no food or beverages may be sold or given away without prior written approval of the Big Iron manager.
10. The Big Iron manager may refuse exhibit space if a display would detract from the dignity of the event.
11. Displayed vehicles and equipment having gasoline or any other flammable fuel reservoirs shall be emptied, fuel caps shall be sealed or taped, and batteries or other electrical sources shall be disconnected. Such vehicles and equipment shall be subject to inspection by the Fire Marshall and Big Iron manager at any time.
12. Any special carpentry, gas, steam, water, or drainage connections shall be installed at the exhibitor’s expense.
13. All labor necessary to erect a display shall be at the exhibitor’s expense.
14. Any display creating smoke or noxious odors or fumes shall be properly vented at the exhibitor’s expense.
15. Big Iron shall not be responsible for damage to, loss, or theft of property of the exhibitor. Exhibitors are encouraged to obtain insurance guarding against such losses.
16. Exhibitor’s schedule: Setup hours (prior to opening) shall be from 8:00 a.m. to 5:00 p.m. beginning five days prior to the opening of the event for outside exhibits and three days prior to the opening of the event for inside exhibits. Other times for set-up are possible only with the approval of the Big Iron manager.
NOTE: Must be set up by 5:00 pm on the day prior to the Event.
17. Hours of operation during the event: 9:00 a.m. to 5:00 p.m. (Tues/Wed) and 9:00 a.m. to 4:00 p.m. (Thursday).
No building will be opened until the designated time for deliveries begins and the building will thereafter remain open until the designated time of closing. All buildings will be closed and locked at all other times with no exceptions.
Exhibits must be properly manned during open hours. Exhibitors with unmanned exhibits will automatically forfeit their right to return in future years.
18. Exhibitors who require delivery service or stocking of exhibits during the event may do so during the hours of 8:00 a.m. and 9:00 a.m. ONLY. Temporary in and out permits for delivery vehicles and service vehicles must be secured at the Big Iron office.
19. All RV’s, campers, or other units placed on the Leased Premises must be of a shape and size which fit completely within the boundaries of the Leased Premises and do not detract from the exhibitor’s display or neighboring displays, and shall be used solely for the purposes of the exhibit.
